Quotation
Once your itinerary has been confirmed, Bay Tours & Charters will provide a fixed quotation based on the operating costs applicable at the time the quotation is issued.
In exceptional circumstances beyond our reasonable control, including but not limited to significant increases in fuel prices or other substantial operating cost increases, Bay Tours & Charters reserves the right to review and amend the quotation. Wherever practicable, any adjustment will be advised no later than thirty (30) days before the scheduled commencement of the charter. If the revised quotation is not acceptable, the customer may cancel the booking and receive a full refund of any deposit paid.
Booking confirmation
A deposit of 25% is required to confirm a booking. The remaining balance must be paid no later than seven (7) days before the commencement of the charter unless otherwise agreed in writing. Bay Tours & Charters reserves the right to cancel bookings where payment is not received by the due date.
Payment methods
This quote is for payment by EFTPOS or internet banking only. We do also accept Mastercard and Visa credit cards. If you wish to pay by credit card an additional 2% (New Zealand) or 4% (Overseas) of the total amount is payable.

Changes to Itinerary
Our quotation is based on the itinerary and information provided at the time of booking. Any changes requested after the quotation has been accepted, including alterations to pick-up or drop-off locations, travel distance, waiting time, passenger numbers or operating hours, may result in additional charges. Any such charges will be advised wherever practicable before the charter proceeds.
Driver Overnighting Costs
Where a charter requires an overnight stay, suitable accommodation and meals for the driver must be provided or arranged by Bay Tours & Charters at the customer’s expense. Where Bay Tours & Charters arranges accommodation, the applicable cost will be charged at the prevailing rate.
Expected Behaviour
Bay Tours & Charters Ltd is not a common carrier and therefore reserves the right to refuse to carry or admit a person whose behaviour is considered detrimental to the enjoyment of the group. By travelling with Bay Tours & Charters Ltd, the charter organiser and/or group leader agrees to accept responsibility for the behaviour of all passengers onboard and the authority of Bay Tours staff with regards to safety and accept their decisions. Any threats to safety, either physical or verbal, or inappropriate behaviour by a passenger may result in the driver requesting the group leader to remove that person from the vehicle. If staff require a passenger to leave a tour, the passenger will be responsible for their own travel costs from that point.
Smoking / Alcohol on coach
Smoking, vaping, illegal drugs and the consumption of alcohol are prohibited on all Bay Tours & Charters vehicles unless expressly authorised in writing.
Cleaning Fee
A minimum cleaning fee of $500 may be charged where a vehicle requires professional cleaning because of a passenger’s inappropriate behaviour (Vomiting, drink or food scrap stains on the coach). Should the cost of cleaning or repairs exceed this amount, the customer will be liable for the actual costs incurred.
Photography and Media Consent
By booking and participating in any tour, charter, or event operated by Bay Tours and Charters, all passengers acknowledge and agree that photographs, video, and audio recordings may be taken by company staff or representatives during the experience.
Passengers grant Bay Tours and Charters, its affiliates, and authorized media personnel the irrevocable right to use, reproduce, and publish their image, likeness, and voice in any media format—whether print, digital, online, or social media—for marketing, promotional, and public relations purposes, without compensation or additional consent.
Passengers who do not wish to appear in photographs or promotional material should advise Bay Tours & Charters before the commencement of the charter.
Cancellation
If, for whatever reason, Bay Tours & Charters are forced to cancel the charter a full refund will be issued. If, for whatever reason, a charter is cancelled by the client the following cancellation fee structure will apply.
7 Days or more prior to the start of the charter: No cancellation fee. Full refund of charter price paid – less any non-recoverable payments to third party suppliers.
Less than 7 days & up to 24 hours prior to the start of the charter: 50% of the charter price paid OR $250, whichever is the lesser amount – plus any non-recoverable payments to third party suppliers.
Less than 24 hours prior to the start of the charter: 100% loss of charter price paid.
Any accommodation, attractions, ferry bookings or third-party services purchased specifically for the charter are non-refundable to the extent that Bay Tours & Charters is unable to recover those costs.
Management reserves the right to apply discretion in the application of these fees.
Liability
To the fullest extent permitted by New Zealand law, Bay Tours & Charters’ liability is limited to the amount paid for the charter service.
Bay Tours & Charters is not liable for indirect or consequential losses arising from delays, cancellations or circumstances beyond its reasonable control. This would include any losses or additional expenses due to delays or alterations in air, land or sea travel due to inclement weather, acts of God, strikes, breakdowns, civil unrest, quarantine, or other circumstances beyond its control.
Under these circumstances, the traveller has no right to claim against Bay Tours & Charters Ltd for any loss, damage, delay or injury caused to the traveller or their baggage or personal belongings whilst under the care or control of an arrangement provider. A traveller’s baggage and personal effects shall be carried at owner’s risk as provided for under the Carriage of Goods Act.
Governing Law
These Terms and Conditions shall be governed by the laws of New Zealand and any disputes shall be subject to the exclusive jurisdiction of the New Zealand courts.
Acknowledgement and Acceptance
